In today’s world everyone seems busier than ever. We fit more into our days than ever before and as business owners the expectations we put on ourselves are huge. Although we all have the same amount of time each day, why is it some people can achieve everything on their to do list while others barely make their way down their list at all? Basically, it comes down to time management. Are you managing your time effectively to get the most out of each day?
Read on to learn valuable ways to use your time effectively when running a business including:
- Prioritise your time
- Time block
- Learn to say No
- If it’s not broken, don’t fix it
- Set timeframes
- Stop procrastinating
Prioritise your time
To use your time effectively, it’s important to set goals, make a to do list and break it down into quarters, months and weeks. The most important task on your to do list should be the task you do first. How do you eat an elephant? One bite at a time. You need to know which elephant to eat and only eat one elephant at a time.
After setting goals, you must set aside time to work towards them. An effective way to do this is time blocking. For time blocking to be effective, it’s important when working on a task to not be easily disrupted by other people, your phone or anything else. In order to be truly productive, you may choose to work at a café, library or a place you can’t be easily disturbed.
Learn to say no
A big learning for many business owners is it’s OK to say no. Having a clear business mission and vision allows you to assess each opportunity as it arises. Ask yourself – does it align with your values? Does it move your business forward? Is it just a nice to do? Will it benefit you in a tangible way? This is hard for business owners to do as they fear it is harsh, however when your time is limited it’s important to use it wisely.
If it’s not broken, don’t fix it
We are constantly exposed to the latest advances in technology, products and services. It can be tempting to try ‘what’s hot and what’s new’ however if it’s not broken, don’t fix it. Assess the situation based on the fact, not just emotion, and if it’s best to stay with your proven system that’s working then do so. Remember, anything new takes time to learn and now may not be the right time.
Parkinson’s law says work will fill the time available for its completion. If you allocate two hours to a task, generally that’s how long it will take you to do it. Planning is the key. Plan in steps and give yourself a specific start and finish time to complete a task.
As the famous Nike slogan says, just do it! Make the plan and get to work. If your priority is high enough, you will find the time and make it work. Remember, any progress is good progress. If you only get one hour done, that is one hour you are further ahead.
